Privacy Policy
Last updated: November 2, 2026
ExcelGurus, LLC operates Excel-Gurus.com and sells Excel-based software tools. This policy explains what information is collected, why, who it is shared with, and what control you have over it. It is written in plain language rather than legal boilerplate, because the aim is for you to actually know what happens to your data.

2. Information you give us directly
Project inquiries
When you submit the form on the Get Excel Help page or the home page, we collect the name, email address, company name (optional), and project details you enter. Your inquiry is kept on this website’s server and in our business mailbox, and is used to reply to you, scope the work, and manage the project if you hire us. When we reply, our messages and your answers are kept with your request on this website’s server. With each request we also keep a few source details: the page it came from, a campaign reference and an advertising click ID when your visit had them, your browser type, and a one-way hash of your IP address rather than the address itself. An automated spam check holds some requests for a personal review instead of passing them to us straight away; it never turns a request away.
Files you send with a request
When you attach files to a request, they are stored on this website’s server, outside its public folders, and are used only for your request. We check each file before anything else happens to it, then work on it on our own computer, where AI tools may help process it. Your files are not used to train AI models. A preview of the fix and the finished file are kept with your request until you download it. Files are deleted 14 days after delivery for an instant fix and 30 days after delivery for custom work; a file from a request that was never paid for is deleted 30 days after the last activity. You can ask us to delete your files sooner from the support page. Your request itself is kept as described above.
When we have your price or your file ready after you left the page, we may send you one short email with a link to it, from our notify.excel-gurus.com sending address. Answering it reaches us as any reply does.
Email subscriptions
If you choose to enter your email address after downloading a free tool, we store that address and send you a short sequence of setup and product emails. This is optional: the download works without it. Every email includes a one-click unsubscribe link, and unsubscribing immediately cancels any emails still scheduled. If you ask us from one of our Excel tips articles to email you a tool’s download link for your Windows PC, we store that address with the subscriptions, send one email with the link and nothing further, and that email carries the same unsubscribe link.
Purchases
When you buy a license, payment is processed by Stripe. We do not see or store your card number. We receive your email address and confirmation of payment, which we use to issue and email your license key and to provide support. Invoices for custom work and for fixes of your files are also issued and paid through Stripe.
EG TDR Reporter and EG SCA Wage Pack are each sold as a yearly license that renews automatically until you cancel. Stripe keeps the card you pay with on file for the renewals; we never see the card number. With the license we keep a record of your agreement to the automatic renewal (when you agreed, which version of the renewal terms you were shown, the price, and Stripe’s references for the checkout and the subscription), the subscription’s status and dates, each payment, and a log of the renewal emails we send you (which email, when, and whether our email provider accepted it). For EG SCA Wage Pack we also keep each upgrade and each change of the tier your license renews at, with your agreement to the new renewal amount. When you manage the renewal on our page for either product with your license key and email address, an attempt that does not match is counted in coded form (a coded form of the key and of a shortened IP address, kept 7 days), so the page can limit guessing.
Businesses we contact
We may contact a business through the contact details it publishes, such as the contact form on its own website, about our products or services, with at most one follow-up. If it replies “no thanks”, we do not contact it again.
3. Information collected automatically on this website
When you download a free tool, we log the product and version, a truncated IP address (the final portion is removed so it cannot identify a specific connection), an approximate location derived from that truncated address, the referring source, and any advertising click identifier present in the link. This tells us which marketing channels work. We do not use it to identify individuals.
When you attach a file, a security check by Cloudflare Turnstile runs on the form to keep automated uploads out. Cloudflare receives technical details about your browser for that check; it sets no advertising cookie.
We also use analytics and advertising cookies, described in section 6.
4. Information collected by the software tools
This section covers EG Quote & Invoice, Excel Data Cleaner, EG Certified Payroll (WH-347), EG TDR Reporter, and EG SCA Wage Pack (52.222-43).
The tools do not read, collect, upload, or transmit the contents of your workbooks, except as described below for EG TDR Reporter and for EG SCA Wage Pack’s Fetch WD. Your quotes, invoices, client lists, contact data, payroll records, and sales stay in your own file on your own computer. There is no cloud sync and no account. The exceptions are two messages of EG TDR Reporter, described below: one sends a GSA contract number and a month, the other the month a GSA upload file it made is for, when it was made and whether it is a correction, and neither sends anything else from your workbook. Separately, EG SCA Wage Pack’s Fetch WD asks SAM.gov, not us, for a wage determination, and that request carries only its number and revision.
All editions send two small anonymous signals, and nothing else. Neither one is sent until you have accepted the license agreement, so if you decline and close the file, nothing has been sent at all.
- First open. When you accept the agreement, the tool tells our server that a copy has been opened, sending the product name, the software version, and an installation identifier. This is normally sent once for each copy of the tool. It tells us how many people who download the tool actually manage to open it, which is the single most useful thing we can know without asking you anything.
- Daily check-in. When you open the tool, it checks in with our server, normally once a day. The time of the last check-in is kept in the workbook, so a copy that is closed without saving checks in again the next time it is opened (Excel does not ask to save when nothing else changed). It sends the product name, the software version, an installation identifier, and whether a license is active on that computer. It tells us whether the tool is being used rather than downloaded and forgotten.
What these signals never contain. No workbook content of any kind. Not the number of quotes, invoices, clients, workers, payrolls, or records you have. Not their values. Not file names, folder paths, or anything typed into the tool. They describe the software, never your data.
If your computer is offline, or our server cannot be reached, these signals are skipped silently and the tool works exactly as normal. Nothing about the tool depends on our server being available. The one exception is EG TDR Reporter’s free month: it starts only once the tool reaches our server, and until then the free edition shows only the number of findings.
EG TDR Reporter’s free month. EG TDR Reporter gives each GSA contract one free month: the first month you check, shown in full for 60 days. So that this holds on every copy of the tool, the free edition asks our server about a contract’s free month. Section 4 of EG TDR Reporter’s license agreement says: “In the free edition, the Software also sends a contract number and a month, with the installation and computer identifiers, whenever it needs our server’s answer about that contract’s free month: when you start the contract’s free month, when an earlier attempt got no answer or this computer has no record of the answer, when you check the contract’s free month again after it has ended, and when you choose Check again. This lets each contract receive one free month and lets us limit how many contracts receive one on the same computer. We keep a coded form of the contract number, not the number itself.” In the quoted words, the installation identifier is the random setup code described below, when there is one, and the computer identifier is the one this policy calls the installation identifier, made from your computer’s hardware. The request also names the product and the software version, and our server answers which month is that contract’s free month. The coded form is made with a secret key. With it we keep the month, the installation identifier as the tool sent it, the random setup code when there is one, the software version, a shortened IP address, and when and how often the contract was checked. The installation identifier also lets us limit free months to three contracts per computer in any 12 months. Separately, for 7 days we keep each request’s shortened IP address, time, and outcome, to limit how many requests one network can make. We keep the free-month record for as long as we sell EG TDR Reporter, because the rule is one free month per contract. A licensed copy never sends a contract number. Ask through the support page and we will delete the record for your contract; that contract can then have a free month again.
EG SCA Wage Pack’s Fetch WD. EG SCA Wage Pack (52.222-43) can fetch a wage determination from SAM.gov by its number. Section 4 of its license agreement says: “When you use Fetch WD, the Software asks SAM.gov directly from your computer for the wage determination you name; the request carries only the wage determination number and revision and identifies the Software by name and version, and nothing about it is sent to ExcelGurus. SAM.gov’s own terms and privacy policy apply to that request.” Nothing about that request reaches our server. EG SCA Wage Pack’s 30-day trial runs in the workbook, and its counts of SCA employees and contracts for its license tiers are made in the workbook and never sent: it sends us no employee, wage, contract or count of them.
Licensed editions additionally connect to our licensing server for these purposes only:
- Activation. When you enter a license key, the tool sends the key, the email address the license was bought with, an installation identifier, and the software version to our server. The server confirms the key is valid and records the activation so we can enforce the two-machine limit.
- Periodic license check. The tool occasionally confirms the license is still valid, sending the key and the installation identifier.
- Deactivation. If you release a machine, the tool tells the server so the slot is freed.
- Paid file report (EG TDR Reporter only). Section 4 of EG TDR Reporter’s license agreement says: “With a paid license, each time the Software makes a GSA upload file it also sends the month the file is for, the date and time it was made and whether it is a correction, with the license key, the computer identifier and the Software version, so that refunds can follow Section 1. It sends no contract number and nothing from the file.” The computer identifier is the installation identifier described below, and Section 1 of that agreement holds the refund rule, which our terms also set out. Each report also carries a one-way code that identifies it, so that a report sent twice is kept once. We keep it with the license record, together with the time it reached us, so that a refund request can be checked against that rule. It never contains a contract number, totals, rows, or anything else from the file.
The installation identifier is a one-way cryptographic hash derived from hardware characteristics of your computer. It cannot be reversed to reveal your hardware details, your name, or your location. Its only purpose is to distinguish one installation from another, so that licenses are not shared beyond the permitted number of machines, so that repeat check-ins from the same computer are not counted as different people, and, for EG TDR Reporter’s free month, so that free months can be limited per computer. A copy installed with our setup program also sends a second identifier: a random code created when you downloaded or installed it. It contains nothing about you or your computer. We use it to tell one installation from another. Setup keeps that code in your Windows user profile, and uninstalling deletes it.
Our server also records the technical details any web request carries: the software’s request signature and the time of the request. Your network IP address is visible to our server when the tool connects, as it is for any internet connection. For the two anonymous signals above we shorten the address before storing it, keeping enough to tell roughly which region a user is in and discarding the part that identifies a specific connection.
5. Who your information is shared with
We do not sell personal information, and we do not share it for anyone else’s marketing. We use the following service providers, who process data on our behalf:
| Provider | Purpose | What they receive |
|---|---|---|
| Hostinger | Website, server, and email hosting | All data stored on the site and in our business mailbox, as our host |
| Stripe | Payment processing | Payment and billing details; for EG TDR Reporter and EG SCA Wage Pack, also the card kept on file and the subscription for the automatic renewal |
| Resend | Sending email | Email address, email content, including your project request to us and our replies to you (kept up to 30 days) |
| Kitchen.co | Client and project management | Support requests, project inquiries sent before September 24, 2026, and project details for clients who hire us |
| Analytics, advertising, and email | Website usage data, cookie identifiers, and copies of project inquiries forwarded from our business mailbox | |
| Microsoft | Bing advertising | Website usage data, cookie identifiers |
We may also disclose information if required by law, or in connection with a sale or transfer of the business.
6. Cookies and tracking
This site uses:
- Necessary cookies: required for the site to function.
- Analytics cookies: Google Analytics, to understand how the site is used.
- Advertising cookies: Google Ads and the Microsoft Advertising UET tag, to measure which ads lead to downloads. A Google click identifier may be stored briefly and attached to a form submission or download so we can attribute it to the right campaign.
7. How long we keep information
- Project inquiries and client records: for the duration of the working relationship and afterwards as needed for tax, accounting, and legal records.
- License and activation records: EG Quote & Invoice, Excel Data Cleaner, and EG Certified Payroll licenses are perpetual, so we keep their record to support you. EG TDR Reporter and EG SCA Wage Pack licenses are yearly; we keep their record, with its payments (and, for EG TDR Reporter, its paid file reports), while the license renews and afterwards, so that a license that comes back can be found again.
- Records of your agreement to automatic renewal, of renewal emails, and of cancellations (EG TDR Reporter and EG SCA Wage Pack): at least three years, or one year after the license ends, whichever is later. We keep them even when the license record itself is deleted, because automatic-renewal laws ask us to be able to show them.
- EG TDR Reporter free-month records: as described in section 4. The request log: 7 days. Attempts on either renewal page (EG TDR Reporter’s or EG SCA Wage Pack’s) that did not match: 7 days, in coded form.
- Email subscribers: until you unsubscribe, after which the address is retained only to ensure we do not email you again.
- Download logs: retained in truncated form for marketing analysis.
8. Your rights
Wherever you live, you may ask us to tell you what personal information we hold about you, correct it, delete it, or send you a copy. Use the support page and we will respond within 30 days. We will not treat you differently for making a request. If you ask us to delete your information, we delete it except the records the law asks us to keep, for the periods in section 7 (for EG TDR Reporter and EG SCA Wage Pack, the records of your agreement to automatic renewal and of the renewal emails).
If you are in the United Kingdom or European Economic Area, you also have the right to object to or restrict processing, to withdraw consent at any time, and to complain to your national data protection authority. Our lawful bases are: performing a contract (delivering purchases and support), legitimate interests (running and improving the business, preventing license abuse, including the one free month per contract), consent (marketing emails and non-essential cookies), and complying with the law (keeping the records of your agreement to automatic renewal and of the renewal emails). Data is stored on servers in the United States.
If you are in California, you have the right to know, delete, and correct personal information, and to opt out of sale or sharing. We do not sell or share personal information as those terms are defined by the CCPA.
9. Children
These are business tools and services. They are not directed at children, and we do not knowingly collect information from anyone under 16. If you believe a child has provided us with personal information, contact us through the support page and we will delete it.
10. Security
The site and licensing server use encrypted connections. Access to client and license data is limited to the business owner. No system is perfectly secure, but we do not store payment card details, and the software tools never transmit the contents of your files beyond the EG TDR Reporter details and EG SCA Wage Pack’s Fetch WD request to SAM.gov described in section 4.
11. Changes to this policy
If this policy changes, the updated version will be posted here with a new date at the top. Material changes affecting how we use your information will be noted clearly.
