Excel Invoice Template for Roofing Contractors
Roofing is the trade where a third party is often the one paying. On storm work the homeowner is the customer but the insurance carrier writes the check, which means your document is being read by an adjuster who compares it against their own estimate line by line. Get the structure wrong and you are not negotiating a price, you are explaining your paperwork. A generic invoice template gives you a description column and no idea that any of this is happening.
What a roofing invoice needs that a generic template does not
Squares, not square feet, and pitch changes everything. Roofing measures in squares of 100 square feet, and the same square costs differently at a 4/12 pitch than at a 10/12 where the crew is working on staging. Layers matter too — a tear-off of two existing layers is a different job than one. A quote that does not state pitch, squares, and layer count is a quote you will end up renegotiating on the roof.
Insurance work moves after you have quoted it. The adjuster’s scope and yours will not match on the first pass. Supplements get filed for things found during tear-off — rotten decking, missing ice and water shield, code upgrades that the original scope missed. Money moves after the number was agreed, and the document has to record that honestly rather than by rewriting history. Deductibles are their own line, and how they are handled is not a place to be casual.
What is under the shingles is unknown until it is off. Decking condition is the single biggest variable in a roofing job, and no amount of inspection from the ground settles it. Every quote needs a stated allowance or a per-sheet rate for decking replacement, because “we found rot” without a pre-agreed price is the conversation that turns a good job into a dispute.
Three kinds of roofing job, three different documents
Repairs and maintenance
Leak repairs, missing shingles, flashing and boot replacement, minor storm damage. Small jobs, often urgent, frequently the first contact with a customer who will need a full roof in two years. These invoices are short but they matter, because a homeowner who felt fairly treated on a $600 repair is the one who calls you for the $18,000 replacement.
Full replacement, homeowner-paid
Quoted before the work, competing against two or three other bids, and the homeowner is comparing numbers they do not fully understand. What separates the winning quote is legibility: squares, tear-off, underlayment, the actual shingle product and warranty, ventilation, flashing, and what happens if the decking is bad. Price alone rarely wins these — the clearest document often does.
Insurance and storm work
Different rhythm entirely. The scope comes from an adjuster, the money comes in stages, supplements get filed mid-job, and the homeowner pays only their deductible. Your invoice has to reconcile against a carrier’s estimate, document what changed and why, and track a balance across payments that arrive weeks apart. This is the roofing work most likely to be tracked badly, and the most expensive to get wrong.
Line items roofing contractors actually bill
- Tear-off and disposal — tear-off per square by layer count, dumpster and haul-off, nail sweep and site cleanup
- Decking and structure — plywood or OSB sheet replacement, fascia and soffit repair, rafter or truss repair
- Underlayment and barrier — synthetic underlayment, ice and water shield at eaves and valleys, drip edge, starter strip
- Roofing material — architectural or three-tab shingles by square, ridge cap, metal panel and trim, flat roof membrane, tile and slate
- Flashing and penetrations — step and counter flashing, valley metal, pipe boots, chimney and skylight flashing, wall flashing
- Ventilation — ridge vent, box and turbine vents, soffit vent, powered attic ventilation
- Labor and access — crew rate by square, steep-pitch premium, two-story or difficult access premium, staging and fall protection
Roofing material prices move sharply and often. Having your pricing saved by square means when shingle costs jump, you can see every service line still built on the old number instead of finding out one signed contract at a time.

Three things there a generic template cannot do. The supplement sits on its own adjustment line, so the number that changed is visible and dated rather than quietly folded into a line item. The carrier’s first payment is recorded against the invoice, so the balance is current on the document instead of tracked separately. And the cost and profit sit beside every line where you can see them — on a job with fourteen unplanned sheets of decking, that is how you know whether the supplement actually covered what it cost you.
Where the template approach breaks down
Insurance work is the clearest case, because a single job generates more paperwork than most trades produce in a month.
The original scope is one file, the supplement is another, the ACV payment lands weeks before the depreciation, and the deductible arrives whenever the homeowner gets to it. Answering “what is still owed on the Delgado roof” means opening four documents and doing arithmetic. Meanwhile your material pricing was set when shingles cost less, every repeat customer gets retyped, and the question of whether storm work actually pays better than retail replacement is spread across a hundred files that nobody is going to reconcile.
